Sales Summary Report

The Sales Summary Report sends email reports about completed orders from your WooCommerce or FluentCart store. It sits below the Schedule Report section on the Schedules tab.

Configuration

Open the Schedules tab in the SyteHero admin and expand the Sales Summary Report section.

Recipients

  • To — Comma-separated email addresses that receive the report.
  • CC — Comma-separated CC addresses.
  • SyteOps Contacts — If SyteOps is active, click contacts to cycle through off → To → CC. This picker is independent of the Schedule Report picker.

Periodic Summary

Enable periodic summaries to receive automatic order digests.

SettingDescription
FrequencyDaily, Weekly, or Monthly
Send TimeHour of day (site timezone) when the report is sent
Day of WeekFor weekly frequency — which day (Mon–Sun)
Day of MonthFor monthly frequency — which day (1–28)
Send when emptyToggle to receive a report even when there are no orders in the period

Period windows (site timezone):

  • Daily — The current day's orders up to the send time. The Send Time acts as the day's cutoff: each digest covers orders since the previous day's send time, and any orders placed after the cutoff are included in the next day's digest. The digest is labeled with its cutoff date (the day it represents).
  • Weekly — Previous Monday through Sunday
  • Monthly — Previous calendar month

Those are the windows of a report's first send. After that, each report starts exactly where the one before it ended, so every order appears in exactly one report: none twice, none skipped. A report includes every order in its window, however many there are. If the orders can't all be read, the report isn't sent, and the same window is tried again an hour later.

Real-Time Notifications

Enable per-sale email notifications to get an email every time an order is completed.

SettingDescription
Digest WindowImmediately sends one email per sale. 5 min, 15 min, or 30 min batches multiple sales into a single digest email at the chosen interval.

Deduplication prevents multiple emails for the same order when both order completion and payment hooks fire.

Order Filters

  • Only include completed orders — When enabled, emails only include orders with a "completed" status, excluding "processing" and "on-hold" orders. This applies to both periodic summaries and real-time notifications. For real-time, a processing order is silently skipped and will be picked up when it transitions to completed. On FluentCart, periodic summaries include only paid orders whose status is Completed (FluentCart completes digital orders when they are paid, and physical ones when you complete them); real-time notifications are still sent for every paid FluentCart order. Changing this setting starts the next periodic report's window from that moment.

Display Options

  • Show thumbnails — Include product images in the email (embedded via CID for email client compatibility).
  • Logo URL — Custom logo for the email header. Falls back to the Schedule Report logo if empty.
  • Show order attribution source — Display how each customer found your store. When enabled, each order card shows a "Source" row with badges indicating the traffic source (e.g., "Facebook (Referral)", "Google (Organic)", "Direct") and whether the customer clicked a hero slide CTA before purchasing ("via Hero"). Attribution data comes from WooCommerce's built-in order attribution (WC 8.5+) or FluentCart's order source columns. If an order has no attribution data, the Source row is omitted even when the setting is enabled.
  • Include Shippo tracking data — When the Shippo integration is active and an API key is configured on the Integrations tab, enable this toggle to include shipping tracking data (tracking number, carrier, status, ETA) in periodic and digest emails. The toggle is greyed out when the integration is not active or no API key is set. Real-time immediate emails skip tracking data since the order was just placed and no tracking exists yet.

Actions

  • Save Settings — Persists all settings and schedules/unschedules the periodic cron.
  • Send Test Email — Saves settings, then sends a test email using orders from the most recent period window.

Message List Preview Line

Below the subject, most mail apps show a one- or two-line preview of the message. SyteHero fills that line deliberately, with the details the subject does not already give you — so you can triage a sale without opening anything:

EmailPreview line
Real-time / New Sale$45.66 · Order #72176 · Brian Favre · processing · Nov 14, 5:13pm
Periodic summary3 orders · $312.40 · Daily Summary: Mar 19, 2026
Periodic summary with no salesNo orders · Daily Summary: Mar 19, 2026
Sources report42 tracked orders · $8,421.50 · 18 via Hero
Attribution report6 attributed orders · $290.00 · Last touch model
Schedule report3 schedules configured

The sale amount comes first, because it is the field most likely to still be visible on a phone, where the preview is truncated hardest. Fields you have not set are skipped rather than left blank — an order placed without a customer name shows the email address instead, and an order with neither simply omits that part.

If a customer's details or an order total look different here than inside the email, the preview is not stale — both are rendered from the same order record, in your site's timezone and currency format.

Previously these previews ran together into unreadable text such as New SaleOrder #72176 processing$45.66DateAug 18, 2026 3:17pmCustomerBrian Favre…, because mail apps were reading the body of the email rather than a preview line. That also pulled the customer's email address and shipping address into your lock screen and notifications. The preview now stops at the line above, so the shipping address no longer appears there, and the email address appears only when an order has no customer name to show instead.

Dark Mode

Both the Sales Summary and Schedule Report emails support automatic dark mode. Email clients that respect prefers-color-scheme: dark (Apple Mail, iOS Mail, Yahoo Mail, Outlook.com) will render emails with dark backgrounds, adjusted text colors, and inverted status badges. Product thumbnails retain a white background pad so images remain clear against dark surfaces. Gmail strips <style> blocks and applies its own auto-darkening — this is a Gmail limitation and cannot be overridden.

Email Content

Periodic Summary Email

  1. Dark header bar with logo and "Sales Summary" subtitle
  2. Statistics banner: period label, total orders, total revenue, average order value, unique customers, total shipping label cost (when Shippo tracking data includes cost)
  3. Top 3 products by quantity sold (with thumbnails, qty, revenue)
  4. Individual order cards: order number, date, customer, payment method, status badge, attribution source badges (when enabled — external source badge and/or purple "via Hero" badge), shipping & tracking section (when Shippo enabled — carrier badge, linked tracking number, status badge, ETA, label cost), line items table
  5. Footer with admin link

Real-Time / New Sale Email

  1. Dark header bar with "New Sale" subtitle
  2. Single order card with full details
  3. Footer with admin link

Each order triggers exactly one "New Sale" email, sent at the moment of purchase — an order is never re-announced if it is later updated or marked completed. If you ever need to stop a one-time flood of stale alerts (for example after importing or bulk-completing a backlog of old orders), use Reset Email Notifications on the Settings tab, which clears the pending sale-alert backlog.

Hero Click Tracking

When a customer clicks the hero slide CTA button, SyteHero records that interaction. If the customer later places an order, the order is flagged as "via Hero" and a purple badge appears in the sales summary email (when "Show order attribution source" is enabled). This helps you measure how effectively your hero slider drives sales.

The slide is credited with the order's revenue (on the Analytics tab) once the order is paid, and only once. An order that is declined, cancelled or never paid adds no revenue. A bank transfer or check order on hold is credited when you mark it paid (Processing or Completed). Orders you add in wp-admin, and orders placed while logged in as a store manager or administrator, are never credited to a slide: the hero click in that browser is yours, not a customer's.

If the customer's browser sends Global Privacy Control, or they declined statistics cookies in your consent banner (through the WP Consent API), SyteHero doesn't track that order: no "via Hero" flag and no revenue for the slide.

The tracking works automatically — no configuration is needed beyond enabling the attribution display option. It works on both WooCommerce and FluentCart stores.

For detailed per-slide performance data (impressions, clicks, and attributed revenue over time), see the Analytics tab in the SyteHero admin.

Order Statuses

The report includes orders with these statuses by default:

  • WooCommerce: completed, processing, on-hold
  • FluentCart: paid

When the "Only include completed orders" filter is enabled, WooCommerce reports are limited to completed orders, and FluentCart reports to paid orders whose status is Completed. A completed-only report counts an order on the day it was completed, not the day it was placed.

Amounts are shown with your store currency's number of decimals: none for currencies such as the Japanese yen, three for currencies such as the Kuwaiti dinar.
